CANCELLATION AND AMENDMENT POLICY:
MOUNT RORAIMA EXPEDITION
This policy outlines the terms governing cancellations, refunds, and booking modifications for the Mount Roraima expedition. Due to the complex logistics, restricted access to remote areas, advanced securing of government and indigenous permits, and the upfront commitment of our professional support teams, the client agrees to the following terms and conditions upon making any partial or full payment.
1. COMMITTED AND NON-REFUNDABLE LOGISTICS.From the moment your booking deposit is received, NATURA WILD EXPEDITIONS immediately allocates and secures funds with third-party providers to guarantee the execution of the expedition. This includes, but is not limited to: National Park entry permits, indigenous community fees, hiring local support guides and porters, camping gear, medical evacuation readiness, and the advance purchase of food and logistical supplies. Consequently, all retention and cancellation policies are strictly enforced.
2. VOLUNTARY CANCELLATION AND RETENTION TERMS.Any voluntary cancellation request from the client must be submitted in writing to our official company email address. Refund amounts are calculated based on the total price of the booked package and depend on the notice period provided:

More than 30 days prior to the start date: You will receive a 70% refund of the total package price. The remaining 30% is strictly non-refundable to cover administrative fees, operational setups, and non-recoverable banking commissions;

Between 29 and 7 days prior to the start date: You will receive a 25% refund of the total package price. The remaining 75% will be retained to cover fully pre-paid logistical commitments, field team fees, and third-party bookings;

Less than 7 days prior to the start date or No Show: No refunds will be issued. 100% of the payment will be retained, as all logistics are fully deployed and your spot can no longer be reassigned to another traveler.
3. CANCELLATION OR MODIFICATION DUE TO FORCE MAJEURE OR ACT OF GOD.
Mount Roraima is located in a region of extreme nature and special sovereignty. In the event of unforeseen circumstances outside the operator's direct control, such as: extreme weather phenomena, natural disasters, health alerts, pandemics, socio-political conflicts, strikes, border closures, or last-minute government/indigenous restrictions:

An informational meeting (in person or virtual) will be convened with the client or the expedition group;

There will be no financial refunds for funds already spent on prior logistics. Instead, NATURA WILD EXPEDITIONS will issue a Travel Credit (Voucher) for the corresponding value or will coordinate the full rescheduling of the expedition to a new mutually agreed date, guaranteeing the client's spot without additional administrative costs from our company.
4. VOLUNTARY DEPARTURE FROM THE EXPEDITION (ON-SITE).

No Partial Refunds: If a participant chooses to cut their trip short or voluntarily leave the trail once the expedition has started—whether due to personal reasons, physical fatigue, or any circumstance other than a critical medical emergency—no partial refunds will be issued for unused days or services;

Extraordinary Expenses: Any additional costs incurred from early departure, including specialized evacuation transport, extra porters, or lodging outside the official itinerary, will be the exclusive financial responsibility of the client.
5. CANCELLATION BY THE OPERATOR.

If NATURA WILD EXPEDITIONS is forced to cancel the expedition due to strictly internal operational reasons (and not associated with the force majeure causes detailed in section 3), the client will be notified immediately, and a 100% refund of the money paid will be processed within a maximum period of 15 business days.

Refund Processing: Approved refunds will be issued via bank transfer in the original currency of payment. Please note that any international wire transfer fees, exchange rates, or processing fees charged by external payment platforms are the sole responsibility of the client.
